Tour Registration and Payments

Refer to the registration flier provided by your trip organizer, and visit our website at www.educationaldiscoverytours.com. Select Registration at the top of the page (or click the hamburger menu icon and select Registration) to be directed to our Reservations site. The parent/guardian paying for the trip must create an account. Once you are logged in, click New Reservation, and enter the Tour Code noted on the registration flier to begin the registration process.

No. Online registration is required for all travelers. We can walk you through the registration process over the phone if you need assistance.

Only if you are 18 or older and paying for the trip on your own. Otherwise, your parent/guardian will need to complete your registration.

After the registration due date has passed, we will continue to accept registrations on a space-available basis. EDT will charge a โ€œlate-addโ€ fee of 10% of the trip cost for travelers registering within sixty days before departure.

We encourage parents to travel as chaperones! Please check with the trip organizer to ensure thereโ€™s space.

Yes. Anyone attending the trip must register online, including chaperones and teachers/staff.

In most cases, if you are attending a trip that requires a hotel stay, your price will be higher than your childโ€™s to accommodate you in a double occupancy hotel room. Also, admission fees for adults are typically higher than student admission fees.

Yes. We offer a monthly payment schedule you can follow at no additional cost. The initial deposit is required to confirm your space on the trip (refer to your groupโ€™s registration flier for the deposit amount). For the remaining payments, invoices will be emailed to the account holder approximately two weeks before each due date.

Payments can also be made by calling 1-800-544-4723 to pay with a credit/debit card or mailing a check/money order to Educational Discovery Tours, 7050 Windstar Dr, Reno, NV 89523.

No. For your protection, verbal or written authorization is required to charge your credit card/bank account. Please log into your account to submit payments according to the payment schedule.

EDT does not charge late payment fees but strongly encourages keeping up with the payment schedule to take advantage of lower monthly payments and ensure we have the funds necessary to make trip arrangements for your traveler(s).

Final payment is typically due sixty days before departure. EDT does not allow anyone with an outstanding balance to attend the trip.

No. Written receipts for full payment are provided upon request only. You may log into your account to view your current invoice.

Travel Protection and Tour Cancellation

Travel protection focuses on trip cancellation and interruption coverage and typically covers non-refundable, pre-paid expenses. Coverage options vary by provider. We strongly recommend purchasing a travel protection plan with a Cancel For Any Reason (CFAR) benefit.

No. EDT does not offer travel protection. Travel protection with CFAR can be purchased through Travel Insured, our trusted partner. Review Travel Insuredโ€™s flier on your tripโ€™s online information page or call Travel Insured at 844-440-8113 for more details. Travelers may purchase a plan from a different provider if desired.

EDT is not qualified to answer questions about travel protection plans and what they cover. If you have any questions about travel protection, contact Travel Insured or your insurance provider.

All notices of cancellation must be received in writing. Please submit your cancellation notice to [email protected]. Include the name of the group and traveler(s) you need to cancel. Our cancellation policy will apply.

Following is EDTโ€™s standard cancellation policy. Non-refundable payments made to a supplier on your behalf will be in addition to our cancellation fee schedule below.

If notice of cancellation is received:

  • Between the Point of Registration and 60 days before departure your deposit is non-refundable and non-transferable.
  • Between 45 and 60 days before departure 30% of the total trip cost is non-refundable and non-transferable.
  • Between 15 and 44 days before departure 50% of the total trip cost is non-refundable and non-transferable.
  • Less than 15 days before departure 100% of the total trip cost is non-refundable and non-transferable.

Trip Details

A packet with itineraries and other materials will be sent to the trip organizer approximately three weeks before travel. The itineraries will include flight and hotel information, if applicable.

Besides flight times and approximate hotel check-in/check-out times, EDT does not provide a timed itinerary to travelers. The EDT Trip Leader will be responsible for time management.

During a trip, times can often vary due to flight delays, traffic, and even admission lines. We do not provide a timed itinerary to allow the group to focus on the trip, not the schedule.

During the Trip

EDT provides each traveler with a trip itinerary with the hotel name, phone number, and check-in/check-out times. You may contact your child when the group is expected to be at the hotel. In case of an emergency, you may call our toll-free emergency number: (800) 601-4723.

Due to inherent liability concerns, EDT discourages non-registered travelers from meeting and following the group. Additionally, non-registered travelers can detract from the experience for travelers who have purchased the tour package. We encourage you to register for the tour to partake in all activities with the group. Non-registered travelers will not be allowed to participate in any of the groupโ€™s designated tours, meals, hotel accommodations, admissions, or transportation.

An EDT trip leader will inform you of group meeting places and times. If you get separated from the rest of the group, you can call the EDT toll-free emergency number and we will assist you in locating the group.

We work with groups of all sizes! A minimum of 15 travelers is recommended to keep the tour cost-effective.

All groups are welcome! We have worked with all types of groups, ranging from boys and girls clubs to adult wine enthusiasts.

EDT will coordinate with food vendors to accommodate your child as much as possible. If a safe option is unavailable, travelers can bring food. We encourage parents to join the tour if their child has a severe allergy or medical condition.
